Senior Book Keeper

Position Overview

We are seeking a proactive, detail-oriented, and inquisitive Senior Bookkeeper to support the day-to-day operations of the Business Office. This full-time, 12-month position plays a vital role in maintaining the school’s financial operations, including reconciliations, payroll processing, student billing, credit card reconciliations, general ledger entries, and financial reporting.

The Senior Bookkeeper will work as part of a collaborative, four-person Business Office team. The ideal candidate will be a hands-on professional, ready to take initiative and manage a broad range of tasks essential to the smooth functioning of the Business Office.

Core Responsibilities

Accounting & Financial Operations
  • Reconcile key balance sheet accounts monthly and quarterly.
  • Support the CFO in preparing financial statements and reviewing department budgets.
  • Ensure internal controls are in place and financial compliance is maintained.
  • Oversee the work of the Accounting Specialist and Budget Coordinator.
Audit & Compliance
  • Coordinate and manage the financial audit process with external auditors.
  • Assist with Form 990 preparation and documentation.
  • Oversee 403(b) plan audit and reporting in collaboration with HR.
  • Report tuition remission and submit claims to A.G. Dewars.
Payroll & HR Collaboration
  • Process bi-weekly payroll and manage payroll changes using ADP.
  • Collaborate with HR on tax and benefit deductions.
  • Provide payroll support and guidance to employees.
  • Act as the school’s primary contact for ADP Workforce Now.
Student Billing & Account Management
  • Create tuition and incidental billing in Veracross.
  • Update student payment information and respond to family inquiries.
  • Maintain timely and professional communication with families.
Credit Card & Accounts Payable
  • Process monthly credit card reconciliations and coordinate with division heads for receipts.
  • Process weekly A/P check runs from the Accounting Specialist.
Advancement Support
  • Collaborate with the Director of Advancement to ensure donation data is accurate.
Culture & Communication
  • Support a customer-service culture within the Business Office.
  • Respond to all inquiries within 24 hours.
  • Maintain professionalism with families, staff, and external partners.
  • Attend special school events and provide administrative support as needed.
  • Complete financial analysis and special projects as assigned.
Qualifications
  • Bachelor’s degree in Finance, Accounting, or a related field
  • 4+ years of accounting and finance experience
  • 2+ years of payroll processing experience
  • Proficiency with ADP Workforce Now and Google Suite (required)
  • Experience with Veracross and/or Axiom (preferred)
  • Strong communication, organization, and problem-solving skills
  • Ability to work both independently and collaboratively
  • Commitment to accuracy, integrity, and service
