Job Title: Operations Assistant

Division: Administration 

Reports to: Director of Campus Operations

 

Position Summary:

We are searching for an organized self-starter to be our Operations Assistant. The Operations Assistant will provide support under the umbrella of the Operations team. They will also assist in providing problem analysis and resolution, either via direct communication with employees, outside contractors or by informing the manager of issues that will require a more in-depth effort. Assists in answering questions and inquiries from employees, customers, and contractors, using fact-finding and customer service methodologies as well as knowledge of pertinent processes and procedures, and familiarity with policies, vendors and specified products. Must be able to handle a large volume of work orders and events every day in order to relay information to internal and external stakeholders. 

 

Primary responsibilities include, but are not limited to:

- Support the Director of Operations and the Operations department staff.

- Serve as a liaison between the Operations department and staff.

- Ensure work orders and event information are being assigned to Operations staff and completed.

- Conduct walk-throughs of the facility to ensure standards are being met or exceeded.

- Assist with operational issues.

- Schedule meetings for all employees in the Operations department. 

- Promptly respond to inquiries from staff and other stakeholders.

- Provide excellent customer service and develop positive relationships with vendors.

- Prepare and file forms and other documents.

- Take inventory and order office supplies as needed.

- Update logs.

- Analyze all operations and forward suggestions for improvement to the Director.

- Maintain the work schedule/payroll submissions for Operations department.

- Serve as the liaison and point person with King’s custodial vendor.

Core Qualifications and Credentials:

- Bachelor's degree preferred.

- 2+ years of experience as an operations specialist or in a similar administrative support role.

- Highly organized.

- Project management experience.

- Ability to analyze and improve operational processes.

- Strong customer service and organizational skills.

- Excellent communication skills, both written and verbal.

- Strong problem-solving and time management skills.

- Have a service driven personality that would thrive in an educational environment.

- Proficiency in the Google and Microsoft suite of products, specifically email, Word/Docs, Excel/Sheets.

- Must have a good understanding of King’s people, culture and programs, and the trust and respect of all school constituents - students,

  employees, and families.

- Demonstrated initiative and savviness in cross-cultural competence and the ability to work in an environment that reflects our diverse

  community, including but not limited to diversity in race, ethnicity, gender identity, socio-economic status, ability/disability, belief, sexual

Classifications: 

Full-time, non-exempt.
 

Salary Range is $55,000 to $65,000.
